Queue statuses and actions

Once documents are in the queue, the most important things to watch are the status and the actions that remain available.

  • Pending: The file was uploaded and is waiting to be processed.
  • Processing: Sifterra has sent the file for reading and is waiting for results.
  • Completed: Processing finished successfully.
  • Review Required: Processing finished, but someone should check the results before moving on.
  • Approved: A reviewer accepted the extracted values.
  • Rejected: A reviewer decided not to continue with this document.
  • Error: Processing stopped because something went wrong.

The most common path is Pending -> Processing -> Completed.

If the system is less certain about one or more values, the path is usually Pending -> Processing -> Review Required.

If a reviewer approves a document, it may move through Approved and then into Completed once the Business Central document is created.

The queue includes several actions that help users understand what happened:

  • Extracted Data shows all values Sifterra pulled from the file.
  • Processing Log shows the step-by-step history for that document.
  • Match Results shows purchasing match results when matching was used.

The FactBox also helps with triage because it shows:

  • how many fields were found
  • how many were flagged as low confidence
  • how many were corrected by a user

Some queue actions only appear when the document is in the right state:

  • Process is only available for entries that are still Pending.
  • Retry is only available for entries that are in Error.
  • Create Document is only available when the document is Approved or Completed and no Business Central document has been created yet.

This makes the queue easier to scan because users only see actions that fit the document’s current state.

The queue opens with completed entries hidden by default, so users can focus on documents that still need attention.

That filter is useful, but it is narrower than it sounds. The page hides only Completed entries by default. It does not automatically hide Approved, Rejected, Error, or Review Required entries.

  • If everything looks good, the document finishes as Completed.
  • If some values look uncertain, the document finishes as Review Required.
  • If processing cannot finish, the document ends as Error and can usually be retried.
  • If a reviewer rejects the result, the document stays in Rejected and no Business Central document is created from that queue entry.

If the queue status is not the final result you expected, continue to Review, creation, and retry.
